So, can POS work without internet? In many cases, yes – but exactly what continues to work depends on the POS setup, payment terminal, hardware configuration and the type of transaction your business is processing.

For Australian cafés, restaurants, retailers and salons, offline capability is not a nice extra. It is business continuity. A short outage should not automatically mean closed tills, handwritten orders and lost sales.

Can POS Work Without Internet?

A well-configured POS can continue to perform key on-site tasks when the internet drops. This is commonly called offline mode. Do not assume that tapping a card will work just because the POS screen is still taking orders. The POS and EFTPOS terminal are connected parts of your operation, but they do different jobs. Your POS records the sale. The payment terminal seeks approval and settles the funds.

When internet access is unavailable, the safest approach is to know your approved payment fallback before the outage happens. That may mean accepting cash, using a backup mobile connection, or following your payment provider’s authorised offline procedure where available. Staff should never promise a customer that a payment has gone through until the terminal confirms it.

What Stops When the Connection Drops

Internet-dependent features will pause during an outage. For businesses that rely heavily on digital channels, understanding this boundary avoids surprises.

Online ordering, QR code ordering, table reservations made through online channels and website updates generally need internet access. A customer scanning a QR code from their mobile cannot send an order to your venue if the ordering service cannot reach the system. Real-time dashboards are also affected. Owners cannot expect to check live sales from home, compare locations instantly or view current staff activity through the cloud until the connection returns. Your individual store can continue trading, but head office may not see the full picture immediately. Once the internet is back, the system should reconcile the stored transactions and bring reporting, stock and sales records up to date.

How to Prepare Your Business for an Outage

Internet outages happen for ordinary reasons: an NBN fault, a router failure, building works, a power issue or a provider interruption. Preparation turns a stressful event into a manageable one.

A useful continuity plan should cover these five areas:

  • Test your POS offline mode before you need it. Create a test sale, print a receipt and confirm how records synchronise after reconnecting.

Offline POS Is About More Than Avoiding Lost Sales

A temporary outage can expose weak processes quickly. If orders must be written on paper, stock is adjusted later and payments are handled inconsistently, the cost is more than a few missed transactions. Mistakes enter the system, staff confidence falls and customers notice the delay.

An offline-capable POS protects control. It gives operators a way to maintain order accuracy, keep kitchen and counter workflows connected, and preserve a usable record of the day’s activity. There are trade-offs. Local data storage and later syncing must be designed carefully to prevent duplicate records or conflicting changes. It is whether the offline mode supports the critical tasks your specific business cannot afford to stop.

Request that the provider disconnect the internet and show what happens when staff create an order, print a docket, process a cash sale, update stock and reconnect.
